A new vacancy exists for two part-time Receptionists (AM shift 9:00-1:00 and PM shift 1:00-17:00), reporting into the SMMT Group Facilities Manager.


  • To provide a professional and friendly first point of contact to all callers and visitors to SMMT’s Head office at 71 Great Peter Street, London – ensuring a smooth transition between job share role at all times
  • To answer and direct all calls from the SMMT switchboard
  • To register all visitors to 71 Great Peter Street and provide appropriate information in accordance with departmental instruction
  • To manage the Reception Area ensuring high levels of customer service, including managing stationery, post and catering
  • To co-ordinate room bookings and catering requests for each day


  • Experience of managing a Reception Area covering the services listed above
  • Excellent telephone manner
  • Excellent interpersonal and customer care skills
  • Flexibility and ability to use own initiative
  • Ability to work under pressure and deal with difficult situations
  • IT literate (particularly Word, Excel, Outlook, Teams)


  • Ensure all visitors to SMMT’s offices are greeted and welcomed with high levels of customer satisfaction at all times
  • Providing First Aid Support to the business as and when required
  • Maintain a Reception area that creates the very best first impression to our offices at all times. Ensure the area is clean and tidy and free from any H&S risks
  • Receive all incoming telephone calls to the SMMT switchboard
  • Direct callers rapidly and effectively to the appropriate staff members via the switchboard
  • Register all visitors to Reception and ensure they are briefed on the security and H&S procedures in place and directly efficiently to their meetings or staff member being visited
  • Support other departments with greeting visitors for events and receptions
  • Sort all incoming post to 71 Great Peter Street and distribute appropriately. Scanning for The Motor Ombudsman and storing post securely and confidentially
  • Frank all outgoing mail from 71 Great Peter Street and co-ordinate special delivery mail where needed
  • Manage all catering requests for meetings and ensure delivery is on time and to the correct location
  • Manage the contract for plants around the building ensuring all plants are maintained and well cared for at all times
  • Manage the stationery supplies for SMMT and TMO. Co-ordinate all orders within budget and ensure efficiency savings where possible
  • Effectively manage SMMT’s room booking system ensuring on a regular basis that rooms that are booked and still required and made available for others to use when no longer needed by regular communication with key meeting co-ordinators
