PA to the Chief Executive

Purpose of the Post:

  • To provide secretarial/PA support for the Chief Executive, ensuring that all meetings and events are diarised correctly

Qualifications/Skills/Attributes required:

  • Extensive secretarial/PA experience
  • Excellent organisational skills
  • Excellent diary management skills
  • Ability to maintain confidentiality
  • High degree of accuracy
  • Professional approach on the telephone and when dealing with visitors
  • Excellent interpersonal skills
  • Ability to manage own time
  • Excellent prioritising skills
  • Ability to work under pressure
  • High level of discretion
  • Excellent all-round administrative skills
  • Excellent computer skills – Word, Excel, PowerPoint
  • Degree of flexibility

Main duties include:

  • Full secretarial support for the Chief Executive
    • Correspondence – dealing with incoming/outgoing letters and emails, including preparing/checking replies
    • Contact with senior MDs/CEOs within the industry both face to face and by phone/email
    • First point of contact – phone calls and greeting visitors
    • Organising meetings with stakeholders and members
    • All aspects of travel (UK and overseas) including accommodation
    • Expense claims – collating and submitting expenses claim forms
    • Minute taking
    • General office duties
  • Diary Management
    • External meetings/visits
    • Internal meetings
    • Conferences/events etc
    • Input into Corporate Calendar
  • Car Section Committee
    • Liaising with members/secretaries
    • Arranging committee meetings
    • Preparing and circulating agenda
    • Taking minutes
    • Undertaking committee election process (bi-annual)
    • First point of contact for section members
  • Corporate Strategy Group
    • Liaising with members/secretaries
    • Arranging meetings
    • Preparing and circulating agenda
    • Taking minutes
  • Liaising with SMMT President/Honorary Officers/SMMT Directors
    • Arranging meetings/visits
    • Organising past Presidents meeting and dinner
  • Management Team meetings
    • Arranging meetings
    • Collation and preparation of metrics report
    • Preparing and circulating agenda
    • Taking and circulating minutes
  • Company meetings/Staff meetings:
    • Arranging meetings
    • Liaising with HR for staff meeting dates
  • Liaising with SMMT members
  • Liaising and working with Management team
  • Liaising with Industry Forum

Salary and benefits package:
